Staffs meeting report of 21^st August 2017

Attended by: Jamie; Maurice; Marlene; Mpinga and Becky.

DuHope business

·       The women are working on threads bracelets after that, they will start working on jewelry with kitenge fabric

·       Rachel and charlotte worked together and made soap, Charlotte is learning how to make soap. They made smaller bars of soap. As agreed in June small soap we make should be bigger soaps we cut into two. Mpinga and Becky will check and see if there is a way we can recover that soap and Mpinga will ensure the right molds are used.

·       Mpinga to confirm how many were made, and make sure that they make enough since we don’t have enough soap in our stocks. Soap inventory (20 Eucalyptus, 12 lemon glass)

·       Mpinga and Jamie will have a discussion about soap production Tuesday 3pm. Mpinga to send anything she has from Rachel; the main question will be how many soaps can we make in one time?

·       Mpinga is still working on the AIC grant with Becky. She was advised to get the one we used in the past from Gabie and use to fill in this new one.

·       Mpinga to change the shipping cost on the budget

·       Mpinga and Maurice to meet with Fedex to found out how pricing goes if it’s per weight and if the customs is paid.

·       Mpinga to submit rabbit project by Wednesday, that’s the priority

·       Document on cost analysis of products to ask Rachel or Gabie

·       Maurice needed a report of our inventory from outlets; workshop and the shop but it was found that we haven’t been keeping inventory record properly since even square which was supposed to help us didn’t help that much. Becky

DuHope ministry

·       In Bible study: the women are going to continue a study on Esther once they finish it they will prepare a play to help them understand more what they have learnt and help in team work

·       Social work: the visits are ongoing as usual; we have two women who are not coming because they have small babies

·       Childcare: we don’t have many kids as before since they went back to school; we are excited to have Jeana’s teamo come in March they will bring some stuffs for the kids.

·       The Help fund will be used this month to visit Yvonne who gave birth

·       September schedule will be communicated to other staffs since the budget is approved contingent on the rabbit project; soap production and fedex shipping.

·       Scholarship: Beaute is graduating this Friday. Marlene to get a report from her about her hopes and dreams and why was it a good thing for her to get this scholarship. Claudine and Mimi are also graduating this year; Marlene to get informed about their graduation dates.

·       Marlene can go ahead and let Claudine and Charlotte sign, since their employment agreements are contractual based on days worked. Claudine has already signed.

·       Internet situation: Marlene to pass by Tigo and push things there.

Finances

·       Maurice to get an appointment with Fedex and Mpinga to sit in it, on Wednesday

·       Maurice want to know end of month inventory from outlets, workshop, shop. Since we don’t have that information now; Maurice will let them know that inventory track is something we are going to start working on from September.

·       Ren9ceivables

·       Becky’s visa application is ongoing Maurice is following on that, the document will be submitted tomorrow 22^nd August.

·       Bank statements from Equity will be sent to Jamie and Maurice, since Jamie hasn’t been receiving any since July 26.

Becky’s updates

·       Inventory track framework to be set up by September 1^st.

·       Becky will work with Mpinga on the AIC grant once she gets information from Gabie.

·       Becky will visit DuHope on Thursday 24^th August.

Updates from Jamie

·       Jamie is travelling to California

·        We were able to raise USD16,000

·       Jamie met the lady who agreed to come help with leather design; she confirmed she will come. Mpinga needs to prepare a list of what she can help us with.
